Overview
The Human Resource Assistant will provide essential administrative and operational support to the HR function, acting as the first point of contact for staff queries and ensuring smooth HR processes. Based in Mongu, this role is key to maintaining accurate employee records, supporting recruitment and onboarding, assisting with payroll and benefits, and ensuring compliance with labour laws and organisational policies. Main Responsibilities
• Maintain and update employee records, HR trackers, and personnel files, ensuring confidentiality and accuracy.
• Prepare HR documentation including contracts, amendments, confirmation letters, and certificates of service.
• Support recruitment activities by advertising roles, shortlisting candidates, scheduling interviews, and conducting reference checks.
• Coordinate onboarding and induction processes, ensuring smooth integration of new staff.
• Assist with payroll preparation, statutory contributions, leave management, and cooperative registrations.
• Provide administrative support for staff training, workshops, and performance appraisals, maintaining relevant records.
• Support employee relations by implementing HR policies, handling queries, and assisting with disciplinary procedures.
• Ensure compliance with labour laws, donor requirements, and safeguarding policies, promoting a safe and inclusive workplace.
• Contribute to accountability and safeguarding initiatives, including awareness raising and implementation of protective measures.

Required Qualifications and Skills
• Diploma in Human Resource Management, Industrial Psychology, or a related field; a Bachelor’s degree is an advantage.
• 1–2 years’ experience in HR administration or a similar role.
• Knowledge of HR best practices and familiarity with labour laws and compliance requirements.
• Strong organisational, communication, and record keeping skills.
• Proficiency in MS Office and experience with HRIS or other HR software systems.
• High level of confidentiality, professionalism, and attention to detail.
• Team oriented mindset with the ability to collaborate effectively across departments.
