Overview
The Administrative Assistant will provide comprehensive administrative and logistical support to ensure the efficient operation of the office. This role is essential for maintaining effective communication, organizing schedules, and coordinating various office functions. The ideal candidate will be a proactive, detail-oriented individual with strong organizational skills who can manage a variety of tasks to support project leadership and staff.
Main Responsibilities
• Manage office communications, correspondence, and daily administrative tasks, including maintaining contact lists and managing filing systems.
• Organize and schedule meetings, appointments, and travel arrangements for staff and guests.
• Support the procurement of project goods and services by collaborating with country program staff.
• Coordinate all logistical details for team meetings, workshops, and teleconferences, including catering and transport.
• Prepare and distribute correspondence, reports, memos, and forms in a timely and accurate manner.
Required Qualifications and Skills
• Education and Experience: A Diploma in Business Administration, Business Management, or a related field. A minimum of three years of proven experience in an administrative or assistant role is required, along with knowledge of office management systems and procedures.
• Technical Skills: Proficiency in MS Office.
• Soft Skills: Excellent written and verbal communication skills. Strong organizational, planning, and time management skills with the ability to multitask and prioritize effectively. Must possess keen attention to detail and strong problem-solving abilities.
