Job description:
Job title : Clerk, Planning
Site : Kansanshi Mining Plc
Department : Smelter Engineering
Section : Continuous Improvement & Planning
Position reports to : Supervisor, Planning

Purpose
The Clerk – Planning will play a key role in supporting maintenance operations by delivering efficient and reliable services within the designated area. Reporting to the Planner, the role ensures the provision of high-quality service to internal stakeholders through effective coordination and meticulous maintenance file management. This position is instrumental in maintaining operational readiness by providing a responsive and organized documentation system that underpins the company’s maintenance activities.

Key Responsibilities
• Create, print, and close various types of Work Orders to support maintenance operations
• Approve Work Orders as needed, particularly those generated from Work Requests
• Generate and print Picking Slips to facilitate parts allocation
• Raise Purchase Requisitions (PRs) in line with procurement requirements
• Update and maintain Section Statistics Reports to track performance and progress
• Monitor and manage Section Backlog Work Orders to ensure timely resolution
• Handle routine filing and documentation tasks to maintain organized records
• Provide system support to the Planner by resolving technical queries
• Issue and record documents within the Technical Library, ensuring proper archiving
• Perform general office tasks such as photocopying, binding, and document preparation
• Update and maintain machine files for accurate historical records
• Manage and update system data for reissued parts
• Carry out other responsibilities as assigned by the Supervisor to support the team

Qualifications
• Minimum of a Grade Twelve (Grade 12) School Certificate; and
• Craft Certificate in any engineering related course will be an added advantage.

Experience
• Prior experience with PRONTO software is highly desirable
• Proven ability to perform effectively under pressure and meet tight deadlines
• Minimum 2–3 years’ experience in a relevant administrative role
• Demonstrated capability to work independently and manage assigned tasks and projects with minimal supervision
• Strong sense of responsibility, reliability, and self-motivation
• Excellent communication and organizational skills, with attention to detail and accuracy
