Job description:

The Stores Supervisor is responsible for overseeing the daily operations of the warehouse or storage facility, ensuring the efficient receipt, storage, and dispatch of goods. The role ensures stock accuracy, adherence to inventory controls, and compliance with health and safety regulations.

Job Responsibilities:

• Overseeing of warehouse processes
• Ensuring that there is effective work output by the members of staff by adhering to standard operating procedures
• Delegate/coordinate tasks to employees
• Co-ordinate and monitor the Put Away receipts and binning of stock items into their respective bin locations.
• Ensure the relevance and accuracy of Put Away reports relating to stock items received are fully reconciled and signed off by team members.
• Training, guiding and evaluating performance of new warehouse personnel.
• Ensuring that as a department the primary objective is achieved, through the contribution of giving support to the Maintenance Team.
• Ensuring that all staff members are safe and the tasks are being done with all safety precaution and procedure as required.
• Managing VMI (vendor managed inventory) which includes Hydrocarbons, Drilling and Mechanical Consumables.
• Assisting in Inventory Investigations as this involves all incoming and outgoing stock
• Maintaining Work Requests
• Be a leader in Health, Safety and environment management in the warehouse
• Coordinate all activities relating to receiving, storage, handling, and issuing and dispatch of items within the warehouse
• Implement and review procedures and systems aimed at continuously improving the operational effectiveness of the warehouse function
• Review work performance of subordinates regularly to ensure on-going improvement
• Ensure Shipments, on query, non-conformity and over or under supply to be communicated with the procurement team
• Ensures that no shipment to be receipted without paperwork and no PO return to be done without supporting documentation
• Ensure manual Transactions are closed
• Attend planning meetings where necessary and ensure communication is done effectively
• Assist with HR related issues regarding personnel and training
• Perform other duties as assigned by the Coordinator/Superintendent
• Attending to HR related issues regarding personnel and Trainings
• Acting as a link to the Departments and sections
• Providing guidance in addressing challenges /opportunities
• Inventory Transactions – Diesel, Lubes, Inventory.
• Purchase Requisitions – Truckmec, Lapinta, LUWI, Spectra, Total, AMSI.
• Other transactions – Monthly accruals, Work Order Requests, Maintaining DQM (Data Quality Management), Review Inventory / Warehouse GL.

Job Specific Competencies:

• Proficient with Microsoft Office,
• Experience with Enterprise Resource Planning (ERP)
• Experience with Supply Chain Management
• Excellent public speaking skills
• Excellent data interpretation and analysis

Required Skills and Qualification:

• At least 3 – 5 years working in a mining warehouse in supervisory role
• Proficiency in Warehouse, Logistics & Inventory Control Systems
• Knowledge and understanding of the legal requirements of the department’s and the organization’s Safety, Health & Environment (SHE) standard
• ERP experience (Pronto, SAP or any other ERP system)
• Health, Safety and Environment experience in a warehouse
• Grade 12 Certificate
• CIPS Level 5 / higher or equivalent qualification in Supply Chain Management
• Degree in Commerce, Business related is added advantage
• Membership with the Zambia Institute of Purchasing & Supply
• Valid Membership with CIPS
• Knowledge of supply chain policies, procedures and practices
